Doing Business with the City

 Updating your Vendor Information with the City of Charlotte

​Thank you for your interest in doing ​business with the City of Charlotte. To be notified about contracting opportunities, as well as receiving a purchase order or payment, the City requires vendor information to be up to date and accurate. Registered vendors are visible to and searchable by all City departments for solicitation and purchasing opportunities. 

Required information​

  • Tax Identification Number (TIN) or Social Security Number (SSN)
  • Address information, including: physical and remit addresses for purchase orders, payments, and deliveries
  • General, Accounts Payable, and Purchasing contact information
  • Applicable commodity codes (see Master List of Commodity Codes)

To complete your update

  • Open the Vendor Registration ​Form and complete all required fields, including the substitute W-9 section. Please open the Vendor Registration Form using Internet Explorer or download the form as a PDF. 
  • Provide a signed copy of the Vendor Registration Form​, and any applicable supporting documents to the City following the instructions detailed on t​he form
    • If you are a foreign vendor, attach a completed ​W-8BEN-E​
    • If you are a certified Minority, Woman, or Small Business Enterprise (MWSBE) or a Disadvantaged Business, attach copies of any applicable certificate(s)

What to expect next​

  • The City's Vendor Administration team will send a confirm​ation email once your update is complete. Any requests for missing, incomplete, or illegible information may delay this process.
